In Your Shoes: the Board Member

In Your Shoes, No. 2  ·  For: board members, trustees and foundation boards  ·  Reading time: 5 min

Forty pages, the night before.

You give your time freely. You care about the mission. The board pack arrives the night before, 40 pages long, and tells you what happened last quarter.

That is not your job. Your job is oversight and direction: is the organisation healthy, what are the risks, and what do we need to decide today?

The pain, in three parts

  • The pack reports. It does not guide. Most of it describes the past. Little of it says what the board must decide.
  • The numbers do not compare. This quarter’s figures use different definitions from last quarter’s, so trends are hard to trust.
  • The dashboards are built for staff. Many are pulled straight from a CRM or finance system. They are crowded, hard to read and sometimes wrong. Boards end up trusting the pack less than the person who wrote it.

BoardSource has tracked nonprofit board practice through its Leading with Intent research since 1994. Its recent findings link a board’s culture and what it prioritises to how effective it is. How a board spends its time matters, and the pack decides how it spends it.

What a board needs on one page

  • Money against plan. Not twelve months of rows. One chart, with the plan line.
  • Reserves. How many months of operating cost, against the policy target.
  • Top risks. Each with an owner, and a status shown by shape and word.
  • Concentration. What share of income comes from the biggest funder, and what ends soon.
  • The decisions for this meeting. Written as decisions, not topics.

Show and tell: a sample board view. The figures are illustrative, not from a real organisation.

Three questions every trustee can ask

  • What would change our mind?
  • What is the downside scenario, in numbers?
  • Which number on this page is the least reliable, and why?

A good executive will welcome all three. A good pack answers them before you ask.

Why we built it

We built a board governance dashboard for nonprofit boards in Canada, and a version for foundation boards and trustees. It follows the page above: money against plan, reserves, risks, concentration and the decisions for this meeting. Data is entered once, and the board sees a clean, comparable view every quarter.
